Unit price is only the first number

International buyers often begin comparison with the easiest number to see: the supplier’s unit price. That number matters, but it is rarely the complete commercial cost of the order.

A quote can look attractive before freight, inspection, packaging, insurance, duties, handling, banking charges, storage and quality losses are considered. Once those costs are added, the ranking between suppliers may change.

Total landed cost makes comparison more realistic

Total landed cost is a way of bringing the relevant transaction costs into one view. Depending on the trade, it may include product cost, packaging, inspection, inland transport, freight, insurance, duties or taxes, destination handling, storage and payment-related costs.

Not every category applies to every order. The value of the framework is not the number of lines in the spreadsheet; it is the discipline of comparing suppliers on the same commercial basis.

Quality risk also has a cost

Two suppliers can quote the same specification but create different levels of operational risk. Weak packaging can cause damage. Inconsistent quality can create rejection or rework. Poor documentation can delay clearance. Unreliable production timing can increase storage, expediting or customer-service costs.

These risks are harder to price precisely, but ignoring them does not make them disappear.

Payment terms affect the commercial picture

A lower price may require a larger deposit or earlier payment. Another supplier may offer terms that preserve working capital for longer. The unit price comparison therefore becomes incomplete when payment timing is materially different.

The same principle applies to minimum order quantities. A lower unit price may be attached to a quantity larger than the buyer actually needs, creating additional inventory and storage exposure.

Compare complete transactions, not isolated numbers

Better sourcing decisions begin when the buyer stops asking only, “Who quoted the lowest?” and starts asking, “Which complete transaction creates the best commercial outcome for the requirement?”
